Equipment Bookings: Renewals, Loan Times, and FAQ

How to renew an item (e.g. request to keep items for longer than initial loan time)

  1. Visit the library home page: library.ubc.ca 
  2. Click on the ‘Log In’ button on the top right corner of the screen
  1. Select ‘My Library Account Login’.
  1. Log in using one of two methods:
    • CWL Login: Press the Blue ‘CWL Login’ Button and log in with your CWL username and password. You may need to use Duo Multi-Factor Authentication. 
    • Standard Library Login: Enter your library barcode (found on the back of your UBC card) and your pin. If you forgot your pin, you can reset it using your library barcode and your email address.
    • Once you are logged in, you will see all the items you have borrowed. To renew a specific item, select the item and click on the yellow ‘Request Renewal’ button.
  2. The new due date will be reflected under the column for ‘Due date’.
    • If your item is not eligible for renewal, the attempt will be unsuccessful and an error message will show up.

Renewal Troubleshooting: Why is my renewal not working? Why am I being charged late fees?

If your item failed to renew, please make sure:

  • That the item is eligible for renewal. Short loan items such as chargers, headphones, and adapters are not eligible for renewal.
  • After checking out your item, you must wait to renew until the day after the item was checked out. If you try to renew on the same day that you checked out the item, your renewal will fail.
  • That you have not reached the maximum number of renewals allowed. You can check the maximum number of renewals allowed on the Borrowing Equipment page.

If you fail to renew by the initial due date, you will be charged a late fee as per our borrowing policy. You will still be able to renew your item (provided it is eligible for renewal) even if you are charged a late fee (until you reach the maximum late fee amount).

How do I check if an item is available?

  • Items will no longer be visible on the LibCal equipment booking module. To check whether an item is available, start at the Learning Commons Borrowing Equipment page
  • Select the category of item you are interested in (e.g., cameras). Click on the image or on ‘See available options here’.

  • Select the specific item you want to find out about (e.g., DSLRs).

  • Review the item details and select ‘Availability: Check’
  • This links you to the UBC Library Catalogue. You may need to scroll down to see the specific item you want.
    1. Check the ‘number of items’. This is the total number of items that the Chapman Learning Commons has.
    2. Check the ‘status’. This tells you how many of these items are checked out or lost, making them unavailable. If the status is ‘available’, visit the CLC Help Desk on Level 3 of the Irving K. Barber Learning Centre to borrow it (during opening hours)
    3. If you are still unsure, you can call the CLC Help Desk during opening hours at 604-827-3909 or ask in person. We are not able to hold or keep items aside for you. 

Why can’t I book equipment in advance?

The Chapman Learning Commons has a first come, first served model for equipment. This keeps access to equipment equitable for our many users. Removing advance bookings reduced the inconvenience many of our users experienced when they arrived to pick up a booking and the item is not physically at the library.
