UBC PayforPrint allows everyone at on the University campus to pay for printing, copying and scanning using a unified system of payment – the UBCcard or UBC Guest Card. Printed items can be submitted from labs, public access computers as well as online at payforprint.ubc.ca.
First Time Users (Student, Staff & Faculty)
First time users will have to reset their CWL password in order to access PayforPrint.


- Navigate to payforprint.ubc.ca.
- Select the link in “Students: If this is your first time using PayForPrint, click here.”
- Follow the First Time User Instructions on the screen starting with Click HERE to reset your CWL password to reset your CWL password. (Note: This will be your CWL password from now on.)
- Head back to payforprint.ubc.ca and login using your username.stu and your new password.
Guest Users
- Community users, visitors and guests can print and copy by purchasing a UBC Guest Card.
- UBC Guest Cards can be purchased at any UBC circulation desk at a cost of $5.
- The cards are preloaded with $5 which can be used for printing, copying, and scanning.
- Additional funds can be added to your UBC Guest Card online or by cash.


To log-in using the UBC Guest Card:
- Navigate to payforprint.ubc.ca.
- Log in using the information in the back of the Guest Card:
- Your username will be the card number.
- Your password will be the PIN. You will have to scratch off the cover.
Adding Money to PayforPrint Account
Pay Online
Please note that only credit cards are accepted when paying online.
- Login to payforprint.ubc.ca.
- Students: sign in with your username.stu and CWL password.
- Faculty and staff: sign in with your regular CWL credentials.
- Head to the sidebar and click Add Money – UBC Card. This will redirect to the Student Housing and Community Services website.
- Select Add Money to Residence Meal Plan / UBCcard Plan (PayforPrint).
- Specify the amount to add. Please note that the minimum value you can add is $5. Afterwards, click Add Dollars.
- Input your payment method and billing information to complete the transaction. Please note that only credit cards are accepted.
- You will receive a confirmation message.
- Head back to payforprint.ubc.ca and reload the page. It may take a second, but the balance should be updated.


Pay with Cash
Use the Print Card Vendor machine located on the 3rd floor of IKBLC.

Please note:
- All prices are per page including tax.
- A page is defined by one side of a sheet of paper.
- The default print setting on Library workstations is double-sided and you will therefore be charged 14¢ if the impression is on both sides.
- For Web Printing, you can select which print queue you wish to use (duplex=double-sided)
- For printing on 11×17 paper use web print for best results.
- Print 11×17 pages at the Irving K Barber Learning Centre.

- The Library will refund printing costs due to mechanical errors or faulty cards, but not operator error.
Most UBC Library branches have printers with black & white, colour, double-sided printing capabilities as well as the ability to photocopy black & white, colour and double-sided. Coin-operated copying is not available. Click here to view a list of all library public printers.
Print from Personal Device
- Login to payforprint.ubc.ca.
- Students: sign in with your username.stu and CWL password.
- Faculty and staff: sign in with your regular CWL credentials.
- Guests: Sign in with your UBC Guest Card account number and password.
- On the left sidebar, select Web Print.
- Click Submit a Job.
- Scroll and choose a ‘Central’ printer option below and specify what kind of print job you are doing.
- Single (single-sided) or Duplex (double-sided)
- Letter (standard paper size 8.5×11), legal (8.5×14), or 11×17 (poster size)
- Colour or B&W (black and white)
- Click Print Options and Account Selection.
- Input the number of copies you wish to print and click Upload Documents.
- Upload the files you wish to print and click Upload & Complete.
- When the status says ‘Held in Queue’, your print job is ready to be released. Please note this can take a few minutes during busy times.
- Go to the printer with your UBCcard or UBC Guest Card and swipe your card through the scanner to release your print job. Make sure that it is the black bar being inserted through the scanner.
Print from Library Computer
- Select Print from the document you are working in.
- Select the correct printer for your print job. Input the number of copies you wish to print and click Print.
- Login using your PayforPrint account information.
- Students: sign in with your username.stu and CWL password.
- Faculty and staff: sign in with your regular CWL credentials.
- Guests: Sign in with your UBC Guest Card account number and password.
- Go to the printer with your UBCcard or UBC Guest Card and swipe your card through the scanner to release your print job. Make sure that it is the black bar being inserted through the scanner.
All UBC Library branches have photocopiers with black & white, colour and double-sided capabilities. Coin-operated copying is not available.
How to Copy (on a Printer)
- Swipe your UBCcard or UBC Guest card through the card scanner. Make sure that it is the black bar being inserted through the scanner.
- Navigate to Device Functions.
- Click Use Device Functions, then Copy.
- Choose your settings on the top of the display.
- The default will be B&W (black and white), 100% size, double-sided.
- Scroll down for more options.
- Place multiple documents face up in the tray on top of the printer or single documents face down in the flat bed scanner.
- Select Start to copy.
- Once done scanning all documents, click Finish Scan on the blue pop-up at the top to print all the scanned sheets.
- Collect your originals and copies from the printer.

Enhanced Services
UBC Library cardholders who qualify for Enhanced Services may order photocopying by staff through UBC Library’s Document Delivery service.

Computer Scanning
Computer scanning is a great option:
- If you want to scan to email.
- If you want to scan multiple pages easily and free of charge.
- When you don’t have a USB stick to store your scans from a printer.
How to use a computer scanner (on Mac):
- Put your document face down on the scanner glass. Double check the arrow marks on the machine to make sure your document is aligned to the correct corner.
- On the desktop, click on the Image Capture app.
- The app will show you an overview of your document. Expand or minimize the dotted box to capture the specific area you want to scan.
- Adjust scan settings, such as colour, resolution, size, and file format, to achieve your desired scan quality. The standard resolution for printing and scanning documents is 300 DPI.
- Specify which folder you want it to save to by selecting the dropdown box next to Scan To:. For convenience, we recommend saving it to the Desktop.
- Click Scan to scan your document.
- Open the scanned document to view your document and do a quality check.
- Each document will have to be scanned individually and will save as a separate file. To merge all pages into one PDF, select all of them in Finder, right click, and choose Quick Actions, then Create PDF.
- Send the scan/s to yourself via email or save it on your own personal drive before logging out of the computer. Library workstations will reset the computer and wipe existing files upon logging off.
- Don’t forget to collect the originals from the scanners.
How to use a computer scanner (on Windows):
- Put your document face down on the scanner glass. Double check the arrow marks on the machine to make sure your document is aligned to the correct corner.
- On the desktop, click on the EPSON Scan app.
- Click on the Scan button located on the bottom right.
- A window titled File Save Settings will come up. Under settings for Type, choose PDF if you want your multiple scans to be compiled into one file.
- The program will scan and prompt you to scan the next image. If you have more pages you want to scan, choose Add Page. Then, place the next page you want to scan face down on the scanner glass. Click Scan once ready.
- When your scan is done and there are no more additional pages, click Save File. By default, the scan will appear in the Documents folder.
- Send the scan/s to yourself via email or save it on your own personal drive before logging out of the computer. Library workstations will reset the computer and wipe existing files upon logging off.
- Don’t forget to collect the originals from the scanners.
Scan to USB
Please note that to scan to a USB using the printers:
- You will need (1) a personal USB stick and (2) a PayforPrint account.
- The cost to scan per side is 2 cents.
How to scan (on a printer):
- Connect USB to the printer (left side of the display).
- Swipe your UBCcard or UBC Guest card through the card scanner. Make sure that it is the black bar being inserted through the scanner.
- Navigate to Device Functions and click Use Device Functions.
- Choose Print/Scan (Memory Storage Device), then Scan to Storage Device, then USB.
- Choose a folder on your USB stick to save your scan into.
- Under Scan Settings, click on File Type, and then Others to choose your file format.
- Choose ‘Single-page’ for separate scans or ‘multi-page’ to combine scans.
- The printers can create either TIFF, JPEG, or PDF files.
- Place multiple documents face up in the tray on the top of the printer or single documents face down in the flatbed scanner.
- Tick Preview on the top right of the display to view your scanned files once the scanning is done.
- Select Start to scan.
- Once done scanning all the documents, if you ticked Preview, you should see the scanned file. Check the scan.
- If everything looks good, click Save. You will also see the scanned file in your selected folder.
- Collect your originals and copies from the printer
- Remove your USB stick safely by clicking the eject button in the bottom left of the display.
- On a separate personal device or workstation, check that your scan has been saved on the USB and is correctly formatted.
Scanner Locations
UBC Library offers scanners at all library branches, specifically:
- 8 flatbed scanners attached to Mac workstations in the Chapman Learning Commons, including one express scanning station with a 10-minute time limit.
- Slide and film scanning attachments are available at the Information Desk on level 3 of the Irving K. Barber Learning Centre.
- 1 flatbed scanner connected to a Windows computer workstation in Asian Library, Koerner Library, Law Library, Music, Art & Architecture Library, Biomedical Branch Library, Woodward Library, Xwi7xwa library.
- Scanning is also now enabled on many UBC Library copiers.
- Please note that there is a 2¢ per page charge on these machines and an unencrypted USB drive is required.
- A large format flatbed scanner is available on level 4 of the Music, Art & Architecture Library. It is capable of scanning documents up to 12.2×17.2.
Sustainability
The Chapman Learning Commons has a commitment to sustainability. Conserve your use of paper by:
- Reusing paper from old assignments and syllabi
- When printing:
- Print double-sided to cut your paper use in half. Print your cover page separately if you need one.
- Print multiple slides at the same time.
- Powerpoint: Click on “Full Page Slides” in the print settings. Choose from layouts like “4 slides horizontal” or “6 slides horizontal.” If printing from your own device, save your new layout as a PDF before sending it to the printer.
- Keynote: Choose the “grid” layout and select the number of slides per page. Save as PDF using the bottom left corner button before submitting to PayforPrint.
- When scanning:
- Scan to PDF instead of on paper.
